When will I be notified if my abstract was accepted to the 2024 Tandem Meetings?

Abstracts are peer reviewed on their scientific merits and according to subject category. Individuals submitting abstracts must indicate the appropriate review category. Abstracts may be re-categorized to a more appropriate category based on guidance from the Tandem Meetings Co-Chairs. The ASTCT, CIBMTR and Tandem Meetings of ASTCT and CIBMTR reserve the right to make minor editorial grammatical/spelling changes if required for clarity of presentation. You will receive notification of acceptance or rejection by December 1, 2023.

 

When can I submit a Late-Breaking Abstract?

The submission of late-breaking abstracts will be allowed from December 4 – December 18, 2023.

Late-breaking abstract authors must complete a request for information to explain the need for submission during the late-breaking abstract submission process, which will be shared with the abstract reviewers and program Co-Chairs.

 

What is the embargo policy for abstracts presented at the 2024 Tandem Meetings?

Abstracts submitted for presentation will be embargoed by the author(s) and the 2024 Tandem Meetings, upon submission.

Abstracts submitted for presentation to the 2024 Tandem Meetings will be embargoed by the author(s) and the 2024 Tandem Meetings, upon submission. The embargo will be lifted and abstracts will be made available for viewing on February 14, 2024.

 

Will sessions at the 2024 Tandem Meetings be available virtually?

The 2024 Tandem Meetings will offer a very robust live streaming schedule as part of the virtual meetings. Additionally, all registered attendees will receive access to session recordings following the event. Please watch your inbox, this webpage, and the Tandem Meetings’ social media platforms for additional updates.

 

When will the searchable schedule be available?

The searchable schedule is available here.

 

When can I access the conference mobile app?

The 2024 Tandem Meetings Mobile App will be available for attendees to download in February. The app will include an up-to-date schedule and program, attendee directory, floor maps, and more. Stay tuned for additional instructions at that time.

 

Health and Safety 

Will masks be required at the 2024 Tandem Meetings? 

Masks are not required at the 2024 Tandem Meetings. We ask all attendees to respect the choices of their colleagues to mask and/or socially distance throughout the meetings. 

 

Is there a vaccination requirement for attending the 2024 Tandem Meetings? 

The Tandem Meetings of ASTCT & CIBMTR strongly recommend that all attendees, speakers, exhibitors, and guests be fully vaccinated against COVID-19. All attendees should self-screen and stay home if experiencing any COVID-19 symptoms, and self-testing is encouraged. People with COVID-19 can have a wide range of symptoms, which can be found on the CDC website.

 

What is the 2024 Tandem Meetings health and safety policy? 

The health and safety of the 2024 Tandem Meetings attendees, speakers, exhibitors, and staff remains our top priority. ASTCT and CIBMTR are actively monitoring health and safety guidelines and planning an event that adheres to the latest guidance for masks, physical distancing, and related protocols defined by the CDC, the Texas State Department of Health and local health authorities. 

Registration

Can I change my in-person registration to a virtual registration?

Attendees may transfer from a virtual attendee to an in-person attendee and from an in-person attendee to a virtual attendee. If an attendee changes registration type from a virtual attendee to an in-person attendee, the attendee must pay any outstanding balance and complete any additional registration fields. If an attendee changes registration type from an in-person attendee to a virtual attendee, they will not receive a refund for the difference in registration fees. Please email TandemRegistration@conferencedirect.com to make these arrangements. 

Please note that by changing your registration type to virtual, this allows you to view select live-streamed sessions as well as on-demand recordings only.

 

Can I transfer my registration to someone else?

Yes, please email TandemRegistration@conferencedirect.com with your registration confirmation number and the name/contact information of the person within your institution that is taking over your registration. Please allow our team 48 hours to respond to your request during this time.

 

What is the cancellation policy?

Cancellations must be sent in writing by January 24, 2024, to TandemRegistration@conferencedirect.com. Your registration fee, less a $100 administrative fee, will be refunded in the same form as the payment was made if cancellations are received by January 24, 2024. Registrations canceled beginning January 25, 2024, will not be refunded. Any exceptions shall be at the sole discretion of the Show Organizer.

Housing

How do I make a hotel reservation?

All hotel reservations for the 2024 Tandem Meetings must be made online. Attendees must register for the event first and then will be able to make a housing reservation on their registration confirmation email.

How do I modify or cancel my hotel registration?

Please make all hotel changes, including cancellations, online at 2024 Tandem Meetings - Modify. Changes can be made online through Wednesday, February 14, 2024. After February 14, 2024, you will need to contact your hotel directly.

 

What is the cancellation policy?

All reservations require a valid credit card guarantee. A deposit of one night’s room and tax may be charged by the Hotel and reflected on your credit card statement as early as Thursday, February 1, 2024.

Reservations canceled on or before Friday, December 29, 2023 will be subject to a $75.00 processing fee. Reservations canceled after Friday, December 29, 2023 will be subject to a $175.00 processing fee. This fee will be charged at the time of cancellation and will appear on your credit card statement as “ConferenceDirect-Tandem”. In addition to this fee, cancellations and no-shows will also be subject to the individual hotel’s cancellation policy.

 

When will my waitlisted night be confirmed?

If your reservation contains certain nights that are currently waitlisted, rest assured that ConferenceDirect is working to complete your reservation as quickly as possible. You will receive an updated acknowledgement email when your reservation is confirmed in its entirety.

 

What if my dates are not available online?

If you want to extend your stay over dates not available online, please contact the Tandem Meetings Housing Bureau at TandemHousing@conferencedirect.com.

 

When will my credit card be charged?

Your credit card will be held as a form of guarantee only and will not be charged unless the reservation is canceled as outlined in the above Cancellation Policy. All guests must provide a credit card at check in for their room, tax, and incidentals.

 

How do I make a special request? (i.e., two beds, non-smoking, high floor, etc.)

You may add your request to your reservation online. Please note, special requests are not guaranteed. The hotel will make its best effort to accommodate room type and special requests.

 

Childcare

Will childcare services be available at the meetings?

Childcare services are not provided by Tandem Meetings, Henry B. González Convention Center or the affiliated meeting hotels, however, we were able to locate child care/babysitting services for which you can make direct arrangements: Sittercity, a Bright Horizons company, (use promo code TANDEM-24 or the link for 25% off the subscription service); or Care at www.care.com. Feel free to reach out to them at your convenience. Please understand that Tandem Meetings, ASTCT, CIBMTR or Smithbucklin has any history with these organizations, so we are not able to offer any endorsement of their services. But we are happy to extend the courtesy of sharing their information. We would encourage you to further vet to ensure this company meets your own expectations for child care services.
